About the client

Omera is an industrial group in Bangladesh, founded in 2015 and headquartered in Dhaka, with 1,300 to 1,500 employees. Its three companies are Omera Petroleum Limited (OPL), Omera Cylinders Limited (OCL) and Omera Gas One Limited (OGL), with plants and offices at Ghorashal, Mongla, Mirsarai, Sherpur and Habiganj.

Each company and site follows its own working calendar, shift pattern and policy rules. Leadership decided to digitize HR processes for all three companies on one platform.

The challenge

Omera's previous ERP had reached end of life, and only payroll was partially digitized. Most other HR and administrative processes were manual, and rules varied by company and location.

  • Payroll and festival bonusSix variable allowances, eleven variable deductions and pro-rata bonus rules created heavy manual effort and a risk of calculation errors.
  • Advance income tax (AIT)Slabs, investment caps, rebates and minimum tax change each fiscal year, creating compliance exposure and rework.
  • Payroll approvalApproval notes were prepared and signed outside the system across four levels, without a single audit trail.
  • Leave and attendanceRules differed by company and location, and allowance eligibility required manual attendance verification.
  • Employee servicesLoans, expenses, advances, requests and shift scheduling relied on signatures and manual processes.
  • Performance, training, exit and hiringAppraisals, resignations, settlements and requisitions were tracked by email and paper, causing delays and inconsistent records.
  • IT assetsAsset requests lacked real-time stock visibility, with product and stock data held in Oracle.
  • Role-based accessThe absence of role-specific portal access increased security and accountability risks.

Selection of Brain Station 23

Omera selected Brain Station 23 for its functional and technical expertise in meetings and demonstrations, its professionalism, and its consistent protection of other clients' confidential information.

The solution

Each phase began with a requirements workshop, followed by a written specification built from user stories and Odoo mock-ups, and review rounds before sign-off. Go-live took place in four phases: July 2025 (4 weeks), January 2026 (20 weeks), April 2026 (12 weeks) and June 2026 (8 weeks).

Integrations: two-way API integration with Oracle (products, stock, requisitions, employee, payroll and expense data), attendance devices at all work locations, CSV export for bank submission, and email notifications.

Process transformation

Payroll and festival bonus

Before: Payroll maintained in the previous ERP, with approvals handled outside the system.

After: Salary is computed from the employee's contract, including allowances, loan instalments and deductions. Festival bonuses follow employee category and cycle, with pro-rata calculation where required. A month-on-month approval report supports review, a CSV file is generated for bank submission, and pay slips download as PDF.

Payroll and bonuses are calculated from policy rules rather than rebuilt each cycle.

Advance income tax

Before: Fully manual.

After: Annual tax is calculated from estimated income, investment limits, exemptions, progressive slabs, rebates and region-based minimum tax, then deducted in equal monthly amounts. Investment letters are generated for each financial year.

A centralized digital process, with fiscal-year parameters configurable without new development.

Leave, attendance and allowances

Before: Fully manual.

After: Leave types, calendars and roster duty are set per company. Attendance is captured from devices at every location, and night, overstay and weekend allowances are generated after approval.

One policy engine across OPL, OCL and OGL connecting leave, attendance, allowances and payroll.

Employee self-service

Before: Fully manual.

After: Loans follow eligibility rules, yearly quotas, an approval matrix and automatic salary deduction. Expense limits are enforced by designation, and cash advances are adjusted against claims. Employees also use task tracking, a document library and IT asset requisitions synchronized with Oracle stock.

Employees see balances, limits and approval status themselves, and the system enforces policy.

Performance, training, exit and recruitment

Before: Fully manual.

After: KPI appraisals combine self-assessment, manager evaluation and automated scoring. Training is managed from needs assessment to participant feedback. Resignation covers notice calculation, clearance and the final settlement sheet, and recruitment runs from manpower requisition to onboarding.

The full employee lifecycle runs in one system, with approvals and history recorded at each step.

Results

  • Consistency across entities

OPL, OCL and OGL share one platform and structure, while company-specific calendars, leave rules and access rights remain separate.

  • Scalability

Tax parameters, leave calendars, loan quotas and allowance rules are configurable, so policy changes do not require new development.

  • Audit and compliance

Approvals, status history, action logs and email delivery status are recorded in the system.

  • Employee experience

Employees view pay slips, leave balances, loans, expense limits and notices in one self-service portal, on browser or mobile.
